LoadChute Privacy Policy

LoadChute ("LoadChute," "we," "us," or "our") is operated by Greg Herrington, a sole proprietor based in Texas. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
By using LoadChute, you agree to this Privacy Policy.
1. Who This Policy Covers
LoadChute serves two kinds of users:
- Customers — companies that subscribe to LoadChute to manage their delivery schedules, and the individual users they invite (administrators, logistics staff, and location staff).
- Trade Partners — vendors, customers, and carriers invited by a Customer to view and participate in specific delivery schedules. Trade Partner accounts are free.
This policy applies to both.
2. Information We Collect
Information you provide directly:
- Account information: name, work email address, phone number, and password
- Company information: company name, business address, phone number, and billing email
- Operational data you enter into the service: locations, products, trade partner records, delivery schedules, load counts, order/PO numbers, delivery actuals, notes, chat messages, and announcements
- Communications you send to us, such as support requests
Information collected automatically:
- Log and usage data, including IP address, browser type, device information, pages viewed, and timestamps
- Cookies and similar technologies necessary to keep you signed in and to operate the service
Information from third parties:
- Payment and subscription status information from our payment processor (we do not receive or store your full payment card details)
3. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the service
- Create and manage accounts and authenticate users
- Deliver notifications you or your company have configured, including weekly schedule emails, status alerts, and announcements
- Process subscriptions, payments, and billing communications
- Respond to support requests
- Monitor for abuse, fraud, and security issues
- Improve the service and develop new features
- Comply with legal obligations
We do not sell your personal information. We do not use your operational data to advertise to you or to third parties.
4. How Information Is Shared
Between users of the service. LoadChute is a collaboration tool, and information is shared according to the roles and permissions configured by each Customer:
- Users within a Customer company can see information according to their assigned role.
- Trade Partners can see only the specific delivery lanes they are assigned to, along with related chat, status, and schedule information for those lanes. Trade Partners cannot see a Customer's full schedule, other trade partners, or unrelated business information.
- A Customer controls who they invite and what each person can access.
With service providers. We share information with third-party vendors who help us operate the service, including hosting and database providers, email delivery providers, and payment processors. These providers may access information only as needed to perform services for us.
For legal reasons. We may disclose information if required by law, subpoena, or other legal process, or if we believe disclosure is reasonably necessary to protect the rights, property, or safety of LoadChute, our users, or the public.
Business transfers. If LoadChute is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.
5. Customer Data and Data Isolation
Each Customer company's data is logically isolated from every other Customer's data. Users of one company cannot access another company's schedules, chats, locations, products, or trade partner information.
Our access to your data. Authorized LoadChute personnel can view limited account information — company name, subscription tier, subscription status, billing email, account creation date, and counts of locations, lanes, and users — for support, billing, and platform administration purposes. Authorized personnel do not have access to your schedule content, lane details, chat messages, delivery records, or trade partner information through our administrative tools.
We may access additional data only where necessary to investigate a technical problem you have reported, prevent fraud or abuse, or comply with a legal obligation.
Data ownership. As between you and LoadChute, you retain all rights to the data you submit to the service.
6. Data Retention
We retain your information for as long as your account is active and as needed to provide the service. After account cancellation, we retain data for a reasonable period to allow for reactivation and to meet legal, accounting, and dispute-resolution obligations, after which it is deleted or anonymized.
You may request deletion of your data by contacting us at support@loadchute.com. Some information may be retained where we have a legal obligation or legitimate business need to keep it.
7. Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect your information, including encrypted connections, password hashing, role-based access controls, and database-level access restrictions.
No method of transmission or storage is completely secure. We cannot guarantee absolute security, and you use the service at your own risk.
If we become aware of a security breach affecting your personal information, we will notify you as required by applicable law.
8. Your Choices
- Access and correction. You can view and update your account information from your profile settings at any time.
- Notification preferences. You can choose which channels you receive notifications on from your profile settings. Certain transactional messages — such as account verification, password resets, and billing notices — cannot be disabled while your account is active.
- Account deletion. Contact your company administrator to remove your user account, or contact us at support@loadchute.com.
Texas residents. Texas law provides certain rights regarding personal data, including the right to request access to, correction of, or deletion of personal data we hold about you, and the right to appeal a denial of such a request. To exercise these rights, contact us at support@loadchute.com.
9. Children's Privacy
LoadChute is a business tool and is not directed to individuals under 18. We do not knowingly collect personal information from children. If we learn we have collected information from a child under 13, we will delete it.
10. Third-Party Links
The service may contain links to third-party websites, including map services. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the service before the changes take effect. The "Last updated" date at the top reflects the most recent version.
